Purpose

Procedures for approving a hiring request.

Applicability

For a user that has been identified as an approver for the hiring request.

Prerequisites

A BAR role is not required to be identified as a hiring request approver.

Procedure

Note: It is recommended that college level approvers select the Office of Faculty Affairs and Services in order to view all of the details of the requisition. See the Selecting Your Employment Area SOP for details.

4.1

Email Notification

You will receive the email below when a hiring request has been submitted to you for approval.

Dear RECIPIENT.FIRST.NAME RECIPIENT.LAST.NAME:

An UNMJobs hiring request has been submitted and is pending your approval. Please use the link below to review the request. If you have questions, please contact the requisition owner identified below.

Requisition ID: JOB.REQUISITION.ID

Requisition Title: JOB.TITLE

Requisition Owner(s): JOB.REQUISITION.OWNER.LIST.HTML

4.2

View Pending Requests

To approve the request, click on the link in the email and log in to UNMJobs. Hover over Recruit and select Recruiting Approvals.

 

The hiring request will appear in your Pending queue under Offer Letters. Select the Offer Letters link to view the request.

 

4.3

Regular, Research, and Visiting Faculty

 

The offer letter will be attached with the selected candidate’s application profile.

  • Select the candidate’s name to view the application profile and go to the Documents tab.
  • The offer letter can be found under the Attachments section. To view the letter, select the attachments

 

4.4

Temporary Part-Time (TPT)

 

The offer letter can be viewed by selecting the search icon.

  • To view the application profile and attached offer letter, select the candidate’s name.

 

All of the attached documents, including the Offer Letter are found on the Documents tab of the person’s application profile.

  • To view the offer letter, select the search  icon. Note, when viewing the offer letter, the approver can enter comments or download a PDF of the letter by selecting the PDF icon.
  • To approve the hiring request, select the check-mark  icon and click Submit.
  • To return the hiring request to the hiring coordinator, select the cancel icon and click Submit.
